TranspoX Bid — Privacy Policy
What we collect when you use TranspoX Bid, why, and who sees it. In short: your business profile and bids are used to match you with loads and as leads for TranspoX. Your verification documents are used only to verify you. We never sell your data.
Last updated: 21 September 2026
1. Who we are
[REGISTERED COMPANY NAME] (“TranspoX”, “we”) runs TranspoX Bid at bid.transpox.co. For personal data we collect here we are the Data Fiduciary under the Digital Personal Data Protection Act, 2023 (“DPDP Act”). This policy covers TranspoX Bid only; the TranspoX software has its own Privacy Policy.
2. What we collect
| Kind | What | Used for |
|---|---|---|
| Sign-in | Mobile number, one-time passwords, and your acceptance of these documents | Signing you in; record of consent |
| Business profile | Business and owner name, city and state, what you do (fleet owner or broker), vehicle types, routes | Matching, your public profile, leads |
| Verification | GSTIN, PAN, address, bank account (stored encrypted, only the last 4 digits shown), and photos of GST, PAN, RC, bank proof and an owner ID with the first 8 Aadhaar digits covered | Verifying your business only |
| Bidding | Loads you view or watch, your bids, offers, acceptances, and the vehicle, driver and driver phone you give on accepting | Running the auction; matching; leads |
| Technical | IP address, device and browser, timestamps, error logs | Security and fixing faults |
3. Why we use it
- To sign you in, keep your account secure and stop misuse.
- To verify your business before you can bid.
- To show loads, take bids, and tell you about offers and results.
- To share the details needed to complete a deal between a merchant and the winning bidder.
- For leads, as described in clause 4.
- To meet legal obligations and respond to lawful requests.
4. How we use your business data for leads
TranspoX Bid is free because it creates leads: it connects businesses that need lorries with businesses that run them, and it introduces both to TranspoX. When you accept this policy, you agree that we may use your business profile and bidding activity to:
- show your business name, verification and bids to merchants on TranspoX, and recommend you to merchants who post loads on your routes;
- tell you about new loads that match your routes and vehicles;
- contact you by phone, SMS or WhatsApp about TranspoX software and services, or pass your details to our own sales team for that purpose.
We do this only within TranspoX and with merchants on TranspoX. We do not sell or rent your data to data brokers, advertisers or anyone outside TranspoX. Your verification documents, bank details, PAN and Aadhaar are never used for leads.
You can stop sales calls and messages at any time by writing to us (clause 9). Your profile and bids will still be shown to merchants while you use TranspoX Bid, because that is how bidding works.
6. Where and how long we keep it
- Data is stored on servers in India.
- Your profile and bidding history are kept while your account is active, and deleted or anonymised within [90 DAYS] after you ask us to close it.
- Verification documents are kept while you are verified, and for [12 MONTHS] after verification ends, so a rejected or suspended business cannot simply re-apply with the same papers.
- Records of a deal (the load, the accepted bid, the parties) may be kept longer where the law, a dispute or fraud prevention requires it.
7. How we protect it
- All traffic is encrypted in transit. You sign in with a one-time code; there is no password to steal.
- Verification documents are stored privately and open only through short-lived links for our review team. Each opening is logged.
- Bank account numbers are stored encrypted, and only the last 4 digits are ever shown. We never ask for or store a full Aadhaar number.
No system is perfectly secure. If a breach affects your personal data we will tell you and the Data Protection Board of India as the DPDP Act requires.
9. Your rights
Under the DPDP Act you may:
- ask for a summary of the personal data we hold about you;
- ask us to correct, complete or update it;
- ask us to erase it, where we are not required to keep it;
- withdraw your consent, including to lead use and sales contact. Withdrawing consent to the core service means we can no longer let you bid;
- nominate someone to act for you, and complain to us and then to the Data Protection Board of India.
Write to the Grievance Officer in clause 12. We will respond within [30 DAYS].
10. Children
TranspoX Bid is for businesses and is not meant for anyone under 18.
11. Changes to this policy
We will post any change here and update the date at the top. When we do, we ask you to accept the new policy the next time you sign in.
